We are seeking a Project Commercial Coordinator to join our team. The ideal candidate will be responsible for performing various administrative functions related to active projects, including ERP order entry, A/R collections, 1st level invoice approvals, project milestone tracking, communicating with customers and our project managers to assure effective project deliverables. This role is primarily office based and is focused on business operations in North America.

 

Your Responsibilities Will Be:


• Communicate with customers in a timely manner, to seek payments for completed work milestones, including the chase of overdue receivables. Manage this data so that the Project Managers’ team is kept aware of current status and next steps.


• Support the Sales team with the setup of new project documentation & order entry data into the ERP system and file storage network.


• Participate in customer and/or internal Kick-off Meetings.


• Align with our Project Managers, Procurement and our Finance and Accounting teams to assure project milestones are accurately tracked, including payment milestones that trigger invoice/payment cycles to assure invoicing is performed and received accurately.


• Work closely with the project managers to review and perform level I approval for the vendor (and/or fabricator) progress payments based on the project overall progress.

 

Required Qualifications:


• Bachelor's or Associates degree in Business Administration or related field is preferred. Demonstrated job performance may be acceptable in lieu of degree.


• Proven track record of success in contract management or account management.


• Strong understanding and ability to work in ERP systems and project-based data management.


• Excellent written and verbal communication, and interpersonal skills.


• Ability to work independently and collaboratively in a fast-paced, dynamic environment.


• Proficiency in Microsoft Office Suite and MS Dynamics ERP software.


• Excellent customer service and effective communication skills, including the ability to work through conflicts effectively.


• Proven experience in Purchase Order / Contracts management with at least 7 to 10 years of working experience.


• Ability to apply focus on commercial contract details, and project management and vendor (fabricator) management including financial aspects.


• Demonstrated ability to provide regular updates on contract status and performance metrics; develop reports, KPIs and performance metrics; track contract deadlines, renewals, amendments, and termination dates; align project management to manage post-award contract management actions, including changes and extensions.


• The candidate must a self-starter and demonstrate the ability to prioritize workload to balance priorities across multiple (30+) active projects.

 

Preferred Qualifications:

 

• Demonstrated experience with project-based EPC & Engineering companies in a fast-paced environment.

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.


• Concentrated mental and/or visual attention. The work involves performing complex tasks to very close accuracy and quality specifications, or a high degree of hand and eye coordination for sustained periods.


• The job is typically performed under comfortable working conditions; any disagreeable elements are generally absent during normal performance of job.
