The HR Services Coordinator is responsible for delivering high-quality operational HR support across the employee lifecycle. This role is execution-focused and plays a critical part in ensuring HR data accuracy, regulatory compliance, and timely resolution of employee inquiries.
The coordinator serves as a key member of the HR Services team, supporting core processes including I-9 employment eligibility verification, employee record maintenance, audits, reporting and Tier 1 HR helpdesk support. The role will also support documentation of HR workflows and process improvements, helping maintain clear operational procedures.
Your Responsibilities Will Be:
• Maintain accurate employee records within HRIS systems, ensuring data integrity and compliance with internal policies and regulatory requirements.
• Process employee lifecycle transactions including hires, changes and terminations.
• Support employee file management, document retention, and recordkeeping standards.
• Execute HR administrative processes in accordance with established service level agreements (SLAs).
• Administer and monitor I-9 employment eligibility verification processes for U.S. employees.
• Ensure timely completion and proper documentation in compliance with federal regulations.
• Serve as the first point on contact for HR-related inquiries through the HR ticketing system.
• Respond to employee and manager questions related to HR systems and processes.
• Resolve routine inquiries and escalate complex issues to appropriate HR subject matter experts.
• Track and manage requests through case management tools while maintaining service quality standards.
• Prepare routine and ad-hoc HR reports related to employee data, compliance, and operational metrics.
• Support audit and compliance reviews by gathering documentation and validating records.
• Utilize HRIS, ATS and ticketing platforms to manage HR workflows.
• Assist with testing and implementation of system updates and new HR technologies.
• Document HR processes, workflows, and standard operating procedures (SOPs) to support consistent service delivery.
• Create and maintain process flow documentation using tools such as Microsoft Visio.
Required Qualifications:
• Bachelor’s degree in Human Resources, Business Administration, or related field.
• 3-5 years experience in HR operations, HR shared services or HR administration.
• Experience supporting HR processes in a structured, process-driven environment.
• Experience with HR systems such as ADP, Workday, SAP, iCIMS, Taleo or similar platforms.
• Experience with ticketing or service management platforms such as HALO ITSM or ServiceNow.
• Experience documenting process flows and operational procedures, including use of Microsoft Visio or similar workflow tools.
Licensing or Certifications:
• HR or Service platform certifications a plus.
Travel Requirements:
• This position may require travel up to 10% of the time.
• International travel may be required.
• Valid Driver's License required.
ADA Requirements:
This position operates in a professional office environment and routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and related office tools.
• Concentrated mental and/or visual attention. The work involves performing complex tasks to very close accuracy and quality specifications, or a high degree of hand and eye coordination for sustained periods.
• The job is typically performed under comfortable working conditions; any disagreeable elements are generally absent during normal performance of job.
• Compliance with company attendance standards.
