The Project Coordinator is responsible for supporting the administration and execution of projects throughout their lifecycle by maintaining project records, coordinating project setup activities, tracking cost and billing information, supporting customer invoicing, and ensuring project-related documentation is accurate and up to date within Microsoft Dynamics 365 (D365) and other company systems. This position serves as a key liaison between Project Managers, Operations, Accounting, and other departments by providing timely project information, maintaining project data integrity, and supporting reporting requirements. 


Your Responsibilities Will Be:

  • Set up new projects and customers within D365 in accordance with established procedures and company requirements.
  • Maintain project records, customer information, billing milestones, and project documentation throughout the project lifecycle.
  • Compile and maintain project cost, billing, and progress data required for Percentage of Completion (POC) reporting and other management reports.
  • Extract billing terms, payment milestones, and contractual requirements from project documentation and maintain accurate records within the ERP system.
  • Support project invoicing activities by preparing required documentation and coordinating with Accounting and Project Management teams.
  • Maintain project files, supporting documentation, and records to ensure compliance with internal procedures and audit requirements.
  • Prepare project cost, billing, and variance reports for Project Managers and Finance personnel.
  • Monitor project data for completeness and accuracy and follow up with internal stakeholders to resolve discrepancies.
  • Assist Project Managers with tracking project progress, billing milestones, change orders, and project documentation requirements.
  • Coordinate with Operations, Purchasing, Production, Service, and Accounting teams to collect and maintain project-related information.
  • Support month-end reporting activities by compiling project data and preparing supporting schedules as required.
  • Generate standard and ad hoc reports from D365 and other systems to support project management and business operations.
  • Track and maintain project-related customer documentation, including certificates of insurance, customer setup requirements, lien waivers, and vendor forms.
  • Assist with continuous improvement initiatives related to project administration, reporting, and document management processes.
  • Provide administrative and project coordination support to Project Managers and leadership as required.
  • Perform other duties as assigned.

 

Required Qualifications:

  • Associate or bachelor’s degree in business administration, Project Management, Accounting, Finance, or a related field preferred.
  • 2-5 years of experience in project coordination, project administration, customer service, business operations, manufacturing administration, or related roles.
  • Experience working with ERP systems, preferably Microsoft Dynamics 365 (D365).
  • Experience maintaining project documentation, billing records, customer records, and reporting data.
  • Proficient in Microsoft Office applications, particularly Excel, Word, and Outlook.
  • Experience supporting project teams in a manufacturing, industrial, construction, or contracting environment preferred.

Work Environment; Office Position: This position is based in Clearwater, FL. Minimal physical requirements, primarily computer use, and communication via virtual platforms, are necessary. Flexibility to adapt to occasional scheduled video meetings and collaborative tasks is essential.

 

  • Positions in this function typically require standing, climbing, balancing, stooping, kneeling, crouching, crawling, reaching, standing, walking, pushing, pulling, lifting, fingering, grasping, feeling, talking, hearing, seeing and repetitive motions.

 

  • Concentrated mental and/or visual attention. The work involves performing complex tasks to very close accuracy and quality specifications, or a high degree of hand and eye coordination for sustained periods.

 

  • The job is typically performed under comfortable working conditions; any disagreeable elements are generally absent during normal performance of job.

 

  • Compliance with company attendance standards.

 

Sedentary Work: Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.
